Retail, office and all other businesses
Field sales with territories and commission, inventory with supplier portal and invoice checking, sales with a branded invoicing system, central master data, finance with receipts by email and BMD integration, AI-assisted recruiting. And for everything else your business needs: the Hub, where modules can be switched on like apps.
Your industry is missing?
The core with time, scheduling, HR, finance, chat and tasks fits every business from day one. Specialist packages are created with the first customer in an industry, just like the bakery package. Tell us what your trade needs.
Ask about your industryOne week. Six businesses. One system.
Six days, six different businesses, and the same thing happens in each: everything is connected, the system works, the human decides. Choose a day.
The day reports in by itself.
Before anyone is in the office, the status board is ready: two online shop orders from last night, three routes for today, a customer whose ordering rhythm is overdue, a vehicle due for inspection next week. Nobody kept a list for this, the system built it.
The online shop order is already a sales order.
At 22:40 a restaurateur ordered twelve cases in the shop, at his customer price and with the free-goods discount from his terms. In the same second, Chronela turned it into a sales order, reserved the stock, sent him a confirmation and created the shipment for logistics. No retyping, no second list.
Card to the terminal, phone in the vineyard.
The cellar team holds their NFC cards to the terminal. The field sales rep is already on the road and clocks in on the phone by GPS within the permitted radius. Breaks, night hours and the hours balance are calculated in the background, in line with the Working Hours Act and without Excel.
The email order reads itself.
A wine tavern emails “please 6 Grüner, 3 Zweigelt again, like last time”. The order arrives at the business's order address, the AI recognises the company as a customer, matches the wines despite the nicknames, converts cases into bottles and puts everything up for review. The office checks it, one click: sales order, shipment, weight and stock withdrawal are done.
The routes are planned. Since 16:30 yesterday.
The autopilot has dispatched the day: shipments allocated to vehicles by postcode and capacity, real road routes calculated, arrival times set for each stop. The dispatcher drags this morning's two late orders onto a driver with the mouse, and the route recalculates. One driver is on holiday according to the rota, and the system noticed before it became a problem.
The driver knows where to go first and where to go last.
Start the route, enter the mileage, off you go. The app shows the stops in the right order with arrival time, time window, customer notes and the reminder “Collect cash, 184 euros”. Navigation with one tap, a call to the customer with another if running late. When the route starts, every recipient gets an email with the delivery day and the tracking link.
The recipient sees the driver coming.
“Your driver has 3 stops before you, arriving around 09:40.” It is shown live on the shipment tracking page, and when the driver is less than five kilometres away, the “almost there” email arrives. No phone call, no waiting, no “when are you finally coming”.
Tick off, photograph, sign. Done.
The driver ticks off the packing list, corrects one case damaged in transit, photographs the goods, and the customer signs on the display and confirms her age. In that minute, the signed delivery note goes to her by email. The order is corrected for the breakage, so is the stock, and a few minutes later the invoice with a payment QR code is created and sent. The cash is already in the cash book.
Field sales rings the right customer's doorbell.
The traffic light in the app is red: this business usually orders every six weeks and has been due for ten days. Customer file on the phone, latest orders, his prices, what was discussed at the last visit. The order is taken on the spot and goes straight to logistics. The new head chef's business card is photographed and seconds later is a contact in the file.
The customer has paid. Chronela has seen it.
The daily bank retrieval brings in the transactions. The restaurateur's transfer is recognised by invoice number and amount, the invoice is marked as paid, and the open items are correct. Nobody read a bank statement.
Bottling in the cellar.
The bottling order checks whether there are enough bottles, corks and labels, books the materials, creates the lot and updates the cellar book, in a hash chain that would detect any later change. The official test number is attached to the wine, and the e-label with nutritional values is online.
Tomorrow is already done.
The autopilot plans the next day: regular routes, recurring orders, everything outstanding dispatched. The driver completes his route, the vehicle logbook writes itself, and the supplier invoice that arrived by email at 14:00 has been read and is ready for approval.
The tax advisor gets everything. Automatically.
Every supplier invoice approved that day is uploaded to BMD Databox, one file per document, no duplicates. The cash book follows at month end. Whenever the office wants, Chronela retrieves the tax advisor's posting status and shows what has already been posted and what is still missing.
Those who don't pay are reminded. Without anyone having to remember.
An invoice is overdue. The dunning run at 08:30 creates the payment reminder with a new deadline, and two weeks later the formal reminder with fees. As soon as the money is in the account, the reminder closes itself. And so much more.
The bank data is already in.
Automatic bank retrieval brings in the overnight transactions. Guest deposits are matched to invoices, the booking platform's commission lands in its account, and Chronela recognises transfers between the company's own banks by itself.
Occupancy says how many room attendants are needed.
Arrivals, departures, stayovers and breakfast guests come from the hotel system straight into the rota. Next to each department is the recommended staffing, based on the housekeeping minute model. The chef de rang sees on her phone that she needs one more person today and offers the shift on the marketplace with a single tap.
The early shift clocks in. One is late.
NFC card to the terminal. An employee arrives twelve minutes after the shift starts, Chronela compares with the rota, creates a lateness entry and asks him for a reason in the app. The head of department sees it in the live overview, without anyone having to tell tales.
The breakfast invoice arrives by email and is already recorded.
The baker sends the weekly invoice to the hotel's receipts address. The AI reads supplier, number, date, due date and amounts, the invoice gets its sequential number and waits for the head chef's approval on his phone. Yesterday's delivery note sits next to it, matched line by line.
Room 204: the shower is dripping.
The room attendant scans the QR code on the fixture, photographs the spot and reports the fault. The maintenance technician receives the push notification, takes it on, repairs it and enters costs and receipt. It stays in the equipment's service history for good, and Chronela already created the annual ventilation maintenance as a task this morning.
One guest books a table online, another buys a voucher.
On the website, the guest chooses party size, date and a free time slot, and the smallest suitable table is assigned. The request appears in the table plan under “New requests”. At the same time someone buys an overnight stay voucher by card, the PDF reaches the recipient seconds later, and the balance is managed centrally.
The front desk hands over to the late shift. In the chat.
The handover is prefilled with the open items from the last shift and the day's faults, sent to the target group “next shift” and must be acknowledged. Anyone who does not understand the message in their own language taps Translate.
A sick note, and cover has already been found.
The employee calls in sick in the app. Chronela automatically asks all available colleagues in the department. Whoever accepts first gets the shift. The rota updates itself, the absence is recorded, and nobody had to make a phone call.
An application by email, a short profile in seconds.
The application for the front desk arrives at the careers address. The AI reads the CV, assigns it to the vacancy, calculates the match score and writes a short profile. The confirmation of receipt goes out automatically. HR moves the card along the Kanban board and offers an interview slot via the booking link.
The director photographs his fuel receipt.
Scan the receipt in the app, the AI fills in merchant, amount, date and category, payment method company card. With the next card statement, Chronela recognises the transaction and ticks it off. Anything missing appears in the list of missing receipts.
Everything to the tax advisor, and the figures tomorrow morning.
The approved invoices go to BMD Databox. On the first of the month, Chronela posts the hotel system's revenue into the accounts, and the monthly report shows rooms, food and beverage, staff, GOP and NOP against budget and the previous year, before the tax advisor has even finished.
The head chef places the order in three minutes.
The ordering cockpit shows only the selected supplier's items with their prices and suggests the next delivery day. Below the approval threshold, the order goes out by email immediately, with item numbers and a link through which the supplier confirms and later uploads the delivery note.
Goods receipt knows the expiry date.
The delivery is booked line by line, with batch and best-before date. When stock is withdrawn, the earliest batch is taken first automatically. Whatever expires in three days appears as a banner in the stock view.
The schnitzel knows what it costs.
Recipes with ingredients and wastage calculate the cost of goods from current purchase prices. The traffic light is green at 27 per cent. If the supplier's price rises, it changes colour before the menu is printed.
The table plan fills itself.
Four reservations came in overnight via the website, for today and for Saturday. They are listed under “New requests”, across all days, so that none is overlooked. Confirm, tap the table in the plan, done. The regular guest with the heart symbol gets his window seat.
Four people without a reservation. Two tables become one.
Record a walk-in, combine two free tables for two, seated. The plan shows in green, turquoise and grey who is seated, who is coming and what is free, with the time per table and the counter “34 of 60 seats”.
Tips are shared out by hours.
The lunch service tip pool is distributed according to the day's clock-in times, so whoever was there longer gets more. Everyone sees their share in the app. There are no more discussions, because the figures are the same for everyone.
The evening shift arrives, the office worker's hours book themselves.
The service staff clock in at the terminal. The office worker with fixed hours does not clock in; Chronela books her working time automatically according to the rota. The Planner reminds the sommelier about the wine list due by Friday, taking his day off on Thursday into account.
The guest redeems a voucher.
Scan the QR code with the phone camera, redeem a partial amount, and the remainder stays on the voucher. The cash takings from the till land in the cash book as income per tax rate, in the hash chain, with a receipt number.
Anyone who forgot to clock out is reminded.
Chronela sees that the cook is still clocked in after the end of his shift, sends a reminder and, if necessary, clocks him out itself. Weekly hours stay below 48, and the eleven-hour rest period is checked for the next rota.
No payroll weekend.
Hours, supplements, tips, expenses and sick leave have long been where they belong. Payroll export at a click, upload the payslips as one PDF, and Chronela distributes them to the right people in the app.
Customers ordered overnight. Without calling.
Every customer has their own link to the reorder portal: their range, their prices, their latest orders, most ordered first. 38 orders came in this way, 11 by email, read by the AI, and 4 from field sales. All of them are sales orders with shipments.
Auto dispatch allocates 53 shipments in seconds.
Postcode rules assign driver and zone, and the rest is split into capacity clusters around the depot. Chilled goods only on the refrigerated vehicle, dangerous goods only with a valid licence, no vehicle over its payload. The dispatcher moves two stops by hand, and the arrival times recalculate.
Loading with the phone, case by case.
Quick scan in the app: the barcode on a crate counts twelve, the one on a bottle counts one, capped at the target quantity. Anything surplus or unknown beeps red. The loading list as PDF is in the driver's cab, and the packages carry labels with tracking codes.
Too much for today. The haulier takes over a route.
The seventh route goes to the haulier with one click; he accepts it in his portal without logging in and marks each shipment as delivered there. His costs replace the per-kilometre rate in the profitability calculation, and the credit note is generated as a PDF.
The landlord reschedules the delivery. Himself.
On the shipment tracking page he sees that the driver is coming at eleven today and sets a preferred date for tomorrow because he is closed today. The shipment goes back to dispatch, and in the evening the autopilot schedules it for Friday.
Empties come back, the load carrier account is correct.
On delivery, the driver records six Euro pallets handed over and four returned. The balance per customer keeps itself up to date and appears on the proof of delivery. Cash collected is posted directly to the cash book, and the cold chain is documented with the actual temperature.
Nobody home. Dispatch knows immediately.
The driver reports the failed attempt with a mandatory reason, dispatch receives the push notification, and after the route is completed the shipment goes back to the open ones. In the control centre, the boss sees on the map where all vehicles are and asks “Where are the problems?”. The answer comes from the live data.
Freight prices are calculated by zone and weight.
Every shipment is priced from the client's tariff, with surcharges for express and a minimum price. The billing preview shows what can be invoiced and what still needs proof of delivery. The month's collective invoice is created at a click.
Route completed, logbook written.
Enter the final mileage, done. The logbook entry is part of a hash chain that makes later changes impossible. The vehicle's mileage is up to date, and the vehicle inspection sticker (Pickerl) due in four weeks shows as an alert in the cockpit.
The weekly report is in the inbox.
Delivery rate, first-time delivery rate, punctuality, failed attempts, kilometres, revenue, CO2 and the driver leaderboard, as a PDF for management. Nobody maintained an Excel sheet.
Every fitter knows what's on today.
The Planner lists the tasks for each site with checklist, attachments and due date. The due date knows the rota: what was planned for Saturday, Chronela moved to Monday when it was created, because the fitter is off. The foreman sees in team control who is overloaded.
Clocked in on site, not in the office.
Remote check-in on the phone by GPS, within the permitted radius around the site. Anyone outside it is rejected and sees the distance. The office worker's fixed hours are booked automatically, without clocking in.
A new contact on site.
The site manager hands over his business card. Photograph it, the AI reads company, name, phone, email and address, Chronela checks whether the company is already a customer and creates a contact and a sales opportunity “First contact”. The follow-up “Chase up” in five days is set.
Material is missing. Ordered in one sentence.
“20 metres of copper pipe 18 and 10 bends from Frauenthal” typed into the ordering assistant, and the draft is ready with the supplier's items and prices. Approval by the foreman on his phone, the order goes out by email, and the supplier confirms via his link.
Refuel, photograph, forget it.
The fitter scans the fuel receipt in the app, payment method company card, and the AI fills in the rest. With the card statement at month end, Chronela ticks off the transaction automatically. Lunch for the colleagues is recorded as an expense with receipt and, once approved, reimbursed via SEPA file.
Mileage allowance and per diems without paperwork.
The trip to the site in Krems is recorded as travel expenses with kilometres and daily allowance, at the company's rates. Approval, payout, posting: one chain, no folder.
The quote is created from the sales opportunity.
The opportunity “Heating replacement, Berger family” becomes a quote PDF valid for 30 days at a click. When it is sent by email, the stage automatically changes to “Quote”, and the pipeline shows the weighted total of all open opportunities.
The vehicle reminds you about itself.
The fleet reports: vehicle inspection (Pickerl) in 21 days, one fitter's driving licence expires in three months. Fuel receipts and maintenance costs per vehicle give the cost per kilometre, without anyone doing the maths.
One payment run per bank, one file for online banking.
Tick all due supplier invoices, with early payment discount where it pays, split across two bank accounts, generate the SEPA file, upload it to online banking, “post as paid”. The instalment agreement with the tax office runs in the same payment run.
The night shift clocks in. Night hours are counted correctly.
The bakers clock in at half past two. Chronela calculates the night hours from 22:00 to 05:00 across midnight, breaks in line with the law and work on public holidays as time credit. The hours balance is right before the dough is ready.
Production books into stock, with batch and date.
Finished goods and raw materials are in stock with batches and best-before dates. Whatever expires today is shown in the banner. Consumption from branch sales is booked as stock withdrawal, and the order suggestion for flour is already there because the reorder level has been reached.
The branch routes run to plan.
The autopilot generated the regular Saturday routes yesterday, each branch a stop with an arrival time. The driver ticks off the packing list for each branch, the branch manager signs on the display, and discrepancies are settled immediately.
Friday's returns, three taps in the app.
The branch manager counts what is left over from Friday and enters it per product in the app, with the reason stale or damaged. Chronela compares the returns with the quantity delivered, the return rate per product turns red from 15 per cent, and exactly these figures feed into the order suggestion for Monday. Yesterday's bread is no longer estimated, it is counted.
Display fridge measured, task ticked off, notice posted.
At seven, Chronela assigned the task “Check fridge temperatures” to everyone working on the shop floor according to the rota. The sales assistant reads the display fridge, enters the value as a meter reading on the equipment and ticks off the checklist. Above seven degrees, she would immediately have seen an alert for the branch manager. Next to it hangs the allergen notice that Chronela generated as a PDF from the product master data, with letter codes and ingredients for each bread.
Seven branches, seven terminals.
Every branch has a Chronela terminal with touch and NFC, offline-capable, with cards registered directly on the device. Anyone clocking in in kiosk mode is visible in head office's live overview. A terminal without a connection sends the scans as soon as it is back online.
Revenue per branch meets staff costs.
Daily takings are recorded, and staff costs come from the planned shifts. The ratio is shown for each branch with a traffic light: one branch is at 42 per cent and turns red. Management sees it in the cost cockpit, not just in the annual accounts.
Stocktaking with the phone.
Labels with QR codes on shelves and products, count by scanning, close. Chronela posts the differences automatically. No paper lists, no night shift for stocktaking.
The branch orders for Monday. The suggestion is already filled in.
The branch manager opens the Monday order in the app. For each product, the suggestion is based on the last four Mondays, minus returns, plus a safety margin. The six pre-orders from the online shop are already included as a separate quantity. One tap, ordered. At 14:00 Chronela locks the orders, the bakehouse gets the baking list with product totals as a PDF, and the delivery for each branch is set up in logistics.
The Sunday shift is swapped. Without the boss.
A sales assistant offers her Sunday shift on the marketplace, and a colleague takes it. The manager confirms with a tap, the rest period is checked, the rota is updated, and both receive a push notification.
A voucher is redeemed at the counter.
The customer shows the QR code on his phone, the sales assistant scans it with the camera of the till phone, a partial amount is redeemed and the remaining value stays. The balance is managed centrally, so the voucher cannot be redeemed a second time anywhere.
Holiday requested, four-eyes principle included.
The branch manager requests two weeks' holiday in the app. She may not approve her own requests, as set out in the company policy. The request goes to management, and the holiday account shows the entitlement up to year end and usage by contract days.
The weekly preview arrives by itself.
Every employee receives their shifts for the coming week as a push notification on Sunday evening. Head office gets the rota of all branches as a PDF notice, colour-coded by shift type, with location and activity in each cell.
Six businesses, one principle.
The order knows the customer, the customer knows their prices, the shipment knows the driver, the driver knows the rota, the delivery knows the invoice, the invoice knows the bank, the bank knows the reminder, and the tax advisor receives everything without anyone lifting a finger. Nothing is typed twice, nothing gets lost, nothing waits for someone to remember it. This is not a tool for one task. It is an operating system for every business.
One order, seven stations, no retyping.
This is how an order flows through Chronela. Every station is a real screen from the sample business.
- Online shop
At 22:40 a restaurateur orders twelve cases in the online shop, at his customer price and with free-goods discount.

- Order
In the same second it becomes a sales order, and the customer receives his confirmation.

- Stock
The stock is reserved, and the reorder level flags what needs to be reordered.

- Route
The autopilot plans the route with a real road route and arrival time per stop.

- Driver
Tick off, photograph, sign. The delivery note goes to the customer by email immediately.

- Invoice
Minutes later the invoice with a payment QR code is created and sent.

- Bank
The bank retrieval recognises the transfer, the invoice is marked as paid, and the open items are correct.

Isolated tools know nothing about each other. An operating system does.
This is the part no patchwork of bought-in tools can replicate, because with us everything lives on the same data.
A driver has approved leave but is assigned to a route next week? Chronela notices seven days in advance and swaps in a free, suitable driver at the push of a button.
This morning's clock-in is the same figure that appears in the payroll export at the end of the month. No transferring, no retyping, no second version of the truth.
The order taken at the 9:40 customer visit is in dispatch at 9:41, and the delivery status flows back into the customer file, right through to the proof of delivery.
Arrivals, departures and breakfast numbers from the hotel system appear right above the rota. Whoever plans sees the demand, not just the names.
Goods receipt posted, supplier invoice matched, payment recognised in the bank import. One transaction, three views, zero searching.
Because everything is one system, a question like “Where are the problems?” can be answered honestly, across routes, customers, deadlines and money.
One system. Every area that keeps a business running.
Each area is a fully fledged tool in its own right. Together they are more: a business that organises itself. Every module in about a minute, click on a tile.

What businesses want to know before switching.
How does our existing data get into Chronela?
Staff can be imported via CSV; overtime, holidays, public holidays and sick leave from the old system are carried over per person. Bank statements come in as CAMT.053 or CSV by drag and drop, and duplicate entries are detected.
On request, we migrate data from legacy systems for you, charged by effort. It is included in the Group plan, as are on-site setup and training.
Where is our data stored and how secure is it?
Chronela runs on servers in the European Union. Data is backed up daily, kept for at least 14 days and additionally copied off-site in encrypted form. Chat messages are stored in the database with AES 256 encryption, and transmission uses TLS.
Login with two-factor authentication and backup codes, roles and permissions down to field level, audit log. The data processing agreement under Art. 28 GDPR is part of the contract.
How does Chronela work with our tax advisor?
Approved supplier invoices are sent automatically to BMD Databox every day at 22:00, one file per document, no duplicates. The cash book follows at month end. Chronela retrieves the tax advisor's posting status and shows what has already been posted and what is still missing.
For payroll there are exports for BMD, DATEV and ELDA, and for accounting the DATEV posting batch.
How long are we committed?
The 90-day trial is free, requires no payment details and ends without cancellation. After that, the contract runs for an indefinite period: with monthly billing it can be cancelled at any time to the end of the calendar month. If you pay yearly, you pay ten monthly fees for twelve months.
You can export your data at any time as CSV, Excel or PDF. After the contract ends, it remains available for export for a further 30 days on request.
What devices do we need?
No installation: Chronela runs in the browser, plus the staff app for iPhone and Android. Clocking in works at the NFC terminal, by QR, on the phone with GPS or on the Apple Watch.
Optional: the Chronela terminal with touch display and NFC reader (€149 one-off per device), a kiosk for hotel self check-in, and Raspberry Pi players for screens.
